How we receive, handle and install equipment procured by a partner and provided to us for deployment at customer sites.

Definition

What Free-Issue Means

Free-issue refers to equipment procured and supplied by a partner (vendor, reseller, integrator or customer) and provided to GWT for installation, functional testing or service delivery.

In this model we do not supply the equipment. We receive it, handle it with care, and install or service it according to project requirements and manufacturer specifications.

It is a common arrangement in critical infrastructure projects where partners prefer to keep control of procurement while engaging us for specialist installation and service delivery.

Common with batteries

Battery consignments are the most frequent free-issue item we handle. They are heavy, classed as dangerous goods, and easily damaged in transit, so condition documentation at receipt matters more than on most equipment.

Our Role

GWT Responsibilities

Receipt and inspection

Handling and storage

  • Secure storage prior to installation
  • Appropriate handling for sensitive equipment

Installation and functional testing

  • Installation verification and functional testing where in scope
  • Handover documentation

Documentation

  • Receipt confirmation and condition reports
  • Installation records and test results
  • Serial number and asset registration
  • Photographic documentation
Partner Role

Partner Responsibilities

  • Equipment procurement and supply
  • Warranty registration and management
  • Delivery coordination to the nominated location
  • Confirming equipment specifications and scope
  • Providing technical documentation
  • Ensuring equipment suitability for site conditions
  • Arranging any required vendor support
  • Resolving supply-related issues or shortages

Key considerations

Equipment condition. We document condition on receipt. Damage, shortages or discrepancies found at inspection are reported to the partner immediately. We are not responsible for defects, damage or issues arising from equipment supply, transport prior to receipt, or manufacturing faults.

Warranty and support. Warranty remains with the manufacturer or supplier. Partners are responsible for registration and claims; we can assist with the documentation.

Scope alignment. Free-issue arrangements should be confirmed in writing before delivery, including scope of works, delivery arrangements and any special handling requirements.

Vendor-supplied equipment

Manufacturer or distributor supplies UPS or batteries directly, with GWT engaged for installation.

Reseller projects

A reseller procures equipment as part of a customer sale and engages us for installation and functional testing.

Customer-owned assets

End customer owns equipment requiring relocation, replacement or service, coordinated by a partner.

Project rollouts

Large deployments where equipment is centrally procured and staged for multi-site installation.

Lifecycle replacements

Replacement batteries or components supplied by a partner for scheduled lifecycle works.

Warranty replacements

Vendor-supplied warranty replacement equipment requiring installation by GWT.

Documentation and Reporting

All free-issue handling is documented through ProReports™, under partner branding.
